Summary:
Responsible to administrate the client and vendor contracts, documents and files.
Compensation: $13.00/hour | 32 - 40 hours per week.

Travel Expectations:
Very infrequent local or overnight travel required.
Must travel to quarterly and annual company meetings, potential overnight based on location.
Office Schedule is Monday through Friday 8:30 AM until 5:00 PM, one hour lunch from 12PM – 1PM.
Essential Duties:
Process new and existing client paperwork, review it for accuracy and supervise the completeness and processing… design or improve current system.
Manage the organization and structure of digital and physical files and internal documents.
Learn how to use third party portals to track internal accounting calculations.
Practice a position of high confidentiality and confidence.
Well versed in spreadsheet creation.
Orders client and office supplies.
Orders client POS material and mails out.
Reconciles and/or inputs data and data entry (high volume of data).
Able to timely type-out dictated memos.
Performing minor accounting activities.
Organize, sync and manage CEO’s calendar.
Answer incoming calls in a polite and professional manner.
Receive, screen, reply and flag company emails and phone calls.
Organize CEO’s daily schedule and tasks.
Schedules all phone and in-person meetings for CEO.
Book travel arrangements including air, hotel and rentals vehicles and other as assigned.
Makes software recommendations to improve expenses and efficiency as well as productivity.
Organize data and analytics and prepare for CEO.
Take notes and minutes of all weekly, quarterly and annual Pulse meetings.
Organizing and filing documents.
Maintains a professional appearance.
Attends executive meetings as requested.
Attends quarterly and annual company meetings, prepares and sends out agenda, coordinates meeting arrangements, books hotel and meeting room, books menu and food and beverage, makes hotel arrangements for invited team members, take notes and minutes during the meetings.
Delivers documentation to local CPA office
Orders meals in office for team, meetings and/or president on occasion.
Designs and maintains filing system for all company documents.
Must be able to navigate using Apple products.

Qualifications:

Education and/or Experience:
High School Diploma or GED required.
Must be advanced at Microsoft Suite including PowerPoint, Excel and Word.
Professional decorum is required.

Language Skills:
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
Mathematical Skills:
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
Reasoning Ability:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exits. Ability to interpret a variety of instructions furnished in written, limited standardization exits. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Certificates, Licenses, Registrations:
Valid Driver’s License
Must obtain a passport within 6 months of employment.
